Activity List

This page lists all of the Activities for your site.  Activities are Deliveries, Pickups, Tasks, and Events. Here is a sample Activity List:

Activities are grouped by Date, then by Period. They list the Patron who is using the Equipment, the Location the equipment is to be delivered to or returned from, the Equipment Type to be used, and any Notes you wish to add.

If one or more specific pieces of Equipment have been assigned to an Activity, you will see the corresponding AV Codes listed next to Assigned. Click on the Assigned link to add or delete items to this list.

The Patron, Location, and any AV Codes are clickable - click any of these to do a Patron-specific, Location-specific, or AV Code-specific Search. This is similar to typing something in the Search form.

Icons to the right enable Reservation Managers to:

Delete the Activity or Reservation

Edit the Reservation

Mark the Activity as Complete

Mark the Activity as Incomplete

Show other Activities that match this Reservation (especially useful if the Delivery and Return are on different dates, and if the Reservation consists of repeating Activities)

Assign a piece of Equipment to the Activity (also accessed thru the Assigned link)

Create a hyperlink that you can send to Patrons in an email

Create a Hardcopy of the Reservation for your records

Printing the Activity List

AV Scheduler automatically removes menus, forms, navigation bars, and editing icons from the Activity List, producing clean-looking hardcopies.

Types of Activities

AV Scheduler has a number of built-in Activity Types. If you need more, just ask.

Delivery Activities

Already in Room; AV Center will Deliver; Staff will Pick Up; Staff Already Has

Return Activities

AV Center will Pick Up; Already Returned to AV Center; Staff will Return

Special Activities

Task; Event; Repair

Activity Color Codes

To help them stand out, Incomplete Activities such as  AV Center will Deliver  and  AV Center will Pick Up  are color-coded red.

Activities that are completed are color-coded green (example:  AV Center will Deliver - Completed )

Activities that are neutral such as  Staff will Pick Up  and  Staff will Return  are color-coded blue.

 Tasks Events , and  Repairs  are color-coded orange.

Changing the Activity List

Adjusting the Date

You can change the date range of the listing by clicking any of the Yesterday, Today, Tomorrow, or Next 3 Weekdays buttons in the left-hand column. You can also jump to a particular date by using the Jump to: form.

Ascending/Descending Order

By default, the events are listed in ascending order, from earliest to latest.  You can reverse this by clicking on the Descending link.  Similarly, if the list is already in descending order, you can return to ascending order by clicking on the Ascending link.

Hide/Show Completed Items

You may simplify your Activity Listing (and more clearly see what Activities need to be completed) by clicking Hide Completed Items.  Similarly, if completed items are already hidden, click Show Completed Items to once again display all items.

Show Late Activities Not Completed

This button reminds the Reservation Manager about Activities that have not been marked as Complete. Click on this button to see those Activities.
